How do I set up which users are on the whitelist of the organization?

Users on the whitelist of the organization do not have to pay for the kWh they load, effectively charging for "free" from their perspective, as long as the required charging station(s) support whitelisting in their access mode. In that case, the charging station owner pays for the kWh, not the charging card holder.

Steps:

  1. Ensure the correct users, with the appropriate charging cards, are added to the correct organization by following these steps:

    • From the left menu, select ‘Organizations’ and click on the tile of the correct organization you want to add the user to. This will open the organization.

    • Navigate to ‘Users’ in the left menu and add the user as a cardholder or administrator, depending on their role in the organization, by filling in their first name, last name, and email address, and save.

    • Navigate to ‘Cards’ in the left menu and add:

      • Public cards by selecting the correct user, then entering the ‘Public Card ID’, which is the visible ID on the front of the public charging card, and a card nickname, then save.

      • Non-public cards by selecting the correct user, then entering the ‘Hidden ID’, which is the hidden ID communicated by the charging card to the card reader of the charging station, and a card nickname, then save.     The charging card is now added and can be used as a whitelisted card for the organization’s charging stations if the access mode supports whitelisting.

  2. Ensure the required charging station(s) support one of the two forms of whitelisting (whitelisting or roaming & whitelisting):

    • If the entire location in the case of a charging plaza must support one of the two forms of whitelisting, set this in the location's access mode:

      • In the left menu, navigate to ‘Locations’ and select the correct location by clicking on the tile. This will open the location.

      • In the left menu, go to ‘Location Settings’ and select ‘Access Mode’.

      • Click on the pencil icon next to the location settings menu and choose one of the options:

        • “Restrict this location to specific users” (whitelisting).

        • “Set this location to public charging. Allow certain users to charge for free” (roaming & whitelisting).

    • If only a charging station or part of the charging stations in a charging plaza needs to support one of the two forms of whitelisting, set this in the access mode of each individual charging station:

      • In the left menu, go to ‘Assets’ and select the correct charging station by clicking on its line. This will open the charging station settings menu.

      • Select ‘Access Mode’ and click on the pencil icon next to the charging station settings menu.

      • Choose “Yes, use my location settings” for the charging station(s) that need to follow the location access mode.

      • Choose “No, I want to choose different settings” for the charging station(s) that do not need to follow the location access mode, then select the desired access mode.

  3. Save the settings by clicking on the floppy disk icon next to the charging station settings menu.

  4. Ensure the organization has the correct card settings:

    • First, go back to ‘Locations’ in the left menu.

    • Then, go to ‘Organization Settings’ in the left menu.

    • Select ‘Cards’ in the organization settings menu.

    • Click on the pencil icon next to the organization settings menu to choose between:

      • “Whitelist all my users”, or

      • “Select users who can charge”.

    • Save the choice by clicking on the floppy disk icon next to the organization settings menu.

This ensures the correct whitelist setup for your organization!
